iNotes 6 Help Guide
iNotes 6/WebMail Important Notes
iNotes is the name for a version of Lotus Notes e-mail accessed via the web. iNotes only works with Internet Explorer 5.x or higher on PCs. If you use a Macintosh, or Netscape, or another browser, you will see you mail on the web in the WebMail interface, which does not have as many features but it is still quite usable. Reference the WebMail section below for more information about WebMail.
The first time someone attempts to use iNotes on a particular computer, you may be prompted to install a plug-in from IBM (International Business Machines). YOU MUST DO THIS in order to use iNotes on that computer. The file is very small, installs quickly, and won’t affect anything else on your computer. 
Also, with some older versions of Microsoft Office and/or Internet Explorer, you may be prompted to insert your Microsoft Office CD once, so your particular computer setup can be updated to function with iNotes. Again, you must do this for iNotes to function, but it is a quick process.
In general, you need to use Internet Explorer 5.x or higher, allow cookies, JavaScript and ActiveX to run for iNotes to work.

Preferences
Preferences allows you to set specific settings for your mail, calendar, and other aspects of your e-mail account, as well as change your e-mail/web password. Access the Preferences dialog box by clicking the Preferences button in the upper right corner of your iNotes window . When finished making your selections, click the Save & Close button . If you want to discard any changes you;ve made, click the Cancel button . You will see this confirmation dialog box.
Click OK to discard your changes are return to the previous screen. Click Cancel to stay in the Preferences box.
Mail Preferences Section
· Your name must be in the field This mail file belongs to:. If you do not see your name here, please contact the Helpdesk immediately for assistance. 651-690-6402.
· Sending - Save Sent Mail allows you to specify if you want to always keep a copy of every message you send in your Sent folder, never keep a copy in the Sent folder, or to always prompt you if you want to save a copy in your Sent folder.
· Default Editor and Send message in this format are different formats for creating and sending mail. Usually HTML is an appropriate default, but some other e-mail programs can’t decipher HTML mail. If you are sending to someone who cannot read HTML mail, experiment with the other options.
· To include the same signature at the bottom of every e-mail message, put a checkmark in the box under Automatically append a signature… and type your desired signature text in the large white box.
· Receiving allows you to specify how often you want iNotes to automatically check the server for new mail. Be aware that shorter time increments can negatively affect performance and speed. Unchecking the box will disable automatic checking for new mail. You may still manually refresh your web page to see your new messages.
· If you would like a prompt when new messages arrive in your inbox, check the appropriate box.
· If the Soft Delete section is enabled, you can choose the number of hours you want deleted messages to stay in your trash can before they are automatically and permanently deleted.· Under Display Options - Sort Mail, you can choose if you would like new mail at the top or the bottom of your inbox.
· Folder Management allows you to choose the folder you most often want to use when selecting the ‘Copy and Close’ option.
· Unread Mail Indication shows different options for displaying your unread messages.
Calendar Preferences Section· Under Calendar Defaults, choose the default type of calendar entry you want to appear. You can still create any type of calendar entry at any time, but here you choose the one you use most often.
· You can also set defaults for how long meetings should last and how often to repeat anniversaries.
· To have your calendar check for conflicts with existing calendar entries, check the box next to Enable for appointments and meetings.
· Time Zone Settings allows you to adjust your time zone if necessary.· Calendar Display allows you to customize the days and times your calendar automatically displays.
· If you receive a lot of Calendar Invitations and want to automatically accept them into your calendar, instead of manually dealing with them, check the box under Autoprocess Calendar Invitations. The drop-down menu has more options to further specify which invitations you want to autoprocess.
· NOTE: Most people on campus do not use the Invitation feature. Therefore, it is usually not helpful to use the Autoprocess feature.
· Inbox Management provides further options for handling Calendar Meetings and Invitations. Most people should leave the default only checked "Meeting message appear in my Inbox."
· The Out Of Office settings allows your account to automatically send a reply to people who e-mail you when you are not checking your e-mail. Specific Out of Office settings are discussed below.
· If you know others are checking your calendar to see when you are available for meetings, you can set your Work Hours to reflect the hours you are generally on campus.
· If you only want certain people to be able to check you calendar for your free times, click the down-pointing arrow at the end of the Allow only these people... line and add their names from the CSC Addressbook.
Out of Office
· If you receive this message, when you try to access the Out of Office agent, please contact the Helpdesk at helpdesk@stkate.edu or 651-690-6402. A small change must be made to your account, so that you can use the Out of Office agent.
· Under the Dates tab, set the dates you will be leaving and returning. Click the down-pointing arrows to choose the dates from a calendar.
· To enable the Out of Office agent, put a checkmark in the Enable Out of Office agent box. Leave the box unchecked if you want to set up your Out of Office information, but want actually enable it at a later time.
· Check the box next to Mark these dates busy in my calendar if you also want your calendar to show you are away.
· Under the Out of Office Message tab, compose the text of your default Out of Office message.
When you return, be sure to return to this Preference page and disable the Out of Office agent! You will receive an e-mail message reminding you to do this on the day you are scheduled to return. The reminder message will also include all the addresses to whom an Out of Office message was sent.
IMPORTANT NOTE: The out-of-office agent has limited interoperability with the Notes client. Once you enable the out-of-office agent, do not use the Notes client to disable or update the agent. In addition, out-of-office messages are sent only to iNotes Web Access users.
International Section· If desired, adjust the date and time setting to your preferences.
Delegation Section· Under the Delegation section, you can allow other people to read, send, and/or edit your mail, calendar, journal and to-do lists.
· Click the down-pointing arrows on the desired section to select people from the CSC Addressbook.
Security Section· To change the password for your iNotes and other College web page access, click the Change...button
· You will be asked to type your old password, type your new password, and type your new password again to confirm the change.
· Click the OK button when finished.
· The password change may not be immediate, but will be automatic.
Other Section· Default Startup View lets you choose the first view you want to see when opening iNotes. Click the drop-down arrow and select from the choices available.
· To Do allows you to choose whether or not you want your To Do list entries to appear in your calendar.
· Personal Categories are different categories you can use to classify your Contacts, if desired.
Alternate Webmail Interface
The WebMail interface is simpler and doesn’t have as many features as iNotes, but does work very well to complete most e-mail tasks. Some people prefer the WebMail interface because it requires fewer computer resources and may work better on some people’s computer set-ups.
To access the WebMail interface when opening your e-mail on the web, instead of letting your mail automatically open in 10 seconds, click this icon in the upper left corner of the blue redirect screen
Also, if you try to access your e-mail on a Macintosh, using Netscape, Mozilla, or anything other than Internet Explorer 5.x or higher on a PC, you will get this message:· Click the link to Use WebMail.
This is an example of the WebMail screen.
The WebMail interface is fairly self-explanatory.
Notes:
- By default, the oldest messages are listed first. Click the DATE header to sort newest messages first.
- Unfortunately, this setting is not permanent, and in the WebMail interface, there is no way to permanently sort new messages first.
- If you want a copy of your message saved in your Sent folder, when sending mail you must click the SEND AND SAVE button.
- If you send your message by clicking the SEND button, your message will be sent, but not saved in your Sent folder.
As in iNotes, you should remember to logout when you are finished.
· To logout, click the Mail link in the upper left corner of your WebMail window.
· From the drop-down menu, choose Logout.
