What is the Grant Proposal Form?



A Grant Proposal Form should be submitted for each research project or programmatic concept for which you plan to seek external funding. This online form serves as the official notification of your intentions to seek external funding and must be approved by your Chair/Director, Dean and Vice President before you can continue in the process. You might also think of the form as a communication tool that allows you to solicit feedback from your Chair, Dean, and Vice President regarding your proposed idea/initiative. Approval for fund-seeking is granted based on institutional priorities.

Timing



Start your project well enough in advance to ensure its successful approval for submission. We recommend filling out the online form as soon as you are certain of your intentions to pursue external funding and have begun to formulate your ideas. It is not unusual for it to take 4-6 months or even a year to develop an idea, search for funding agencies and prepare a grant application for submission. Please note that many funders have only one or two deadlines each year, so you may have to wait until the next year's cycle to apply. The earlier you fill out the Grant Proposal form, the better we will be able to assist you through each stage of the process.

The Grant Approval Process

Garnering Support



Discuss your idea with the Chair/Director of your department before submitting the Grant Proposal Form. This allows you to garner initial support and provides the opportunity to discuss how much effort you propose to devote to the project/research.

Filling Out the Online Form


  • Choose "Author a new grant proposal"
  • Be prepared to answer such questions as
    • submission deadlines (if you know of a particular funder, indicate the application deadline; otherwise, indicate your ideal date for submitting a proposal)
    • tentative title of proposal
    • possible funding sources (if known)
    • focus of proposal (where does it fit within the strategic directions of the university?)
    • goals, objectives and outcomes of the proposal
    • plans for funding the proposal after the external funding period has expired.
  • As the proposal author, you should select all chairs/directors, deans and VPs in your area that the form must route to for approval. If this is a cross-departmental project, you should select the respective chair/director, dean and VP of all those involved. Be sure to CHOOSE THE CORRECT CHAIR(s), DEAN(s), and VP to avoid delays in the approval process.

Note: If you are a chair or director, because of a glitch in the form which will not allow you to serve as both author and chair, you should choose "Kirsten Walters" as the chair. She will submit the form by proxy.
Routing



Through the online process, the form will automatically be forwarded electronically to each selected person from Chair/Director to Dean to VP. At any time during this process, the form may be routed back to you for clarification or correction. In this case, you will receive an email asking you to clarify or "repair" the form. In some cases, additional information may be needed, while in other cases you may need to correct a technical problem on the form. Once your form is repaired, you should resubmit it by clicking on the "Submit" button.

As the college moves forward in devising a case statement for the Center for Women, Health & Fitness, my research on the relationship between athletic participation and retention (as well as academic success) will provide statistical support by highlighting the importance of initiatives that provide increased opportunities for women to participate in athletics.

I will investigate the relationship between athletic participation, retention, and academic success at the College of St. Catherine by conducting surveys and focus groups with current and former student athletes.

Researchers from a number of different fields have argued that there is a correlation between academic success and athletic participation. However, researchers have also pointed to problems inherent in sport, arguing that sport leads to over-competitiveness, over-aggressiveness, abuse of one's body, cheating, etc.

My research looks specifically at how women negotiate and shape the world of athletics and are impacted by it, particularly student-athletes in an all-female sporting environment. In particular, I will examine whether athletics plays a role in improving student retention, improving academic performance, fostering self-confidence, fostering physical and mental health, promoting leadership skills, etc.

Of particular interest is the impact of athletics on women students of color.

My hope is that my research will allow us to re-imagine athletics at CSC as a tool to improve academic performance and retention.

Staying on top of the Approval Process



The proposal author is responsible for monitoring the form's progress as it makes its way along the approval chain. An e-mail message will be sent to you each time an action is taken, whether an approval or a request for adjustments. You can track the progress of your proposal by going to http://minerva.stkate.edu/grantpro.nsf and choosing "View your authored proposals." This will enable you to follow-up with whomever is needed to keep it moving through the approval process. The deans and VPs will rank all proposals according to how they fit within the strategic plan of the university. This provides direction for the Office of Research and Sponsored Programs (ORSP) and Corporate and Foundation Relations (CFR) in moving forward on requests in a timely manner.

Once your online form has made its way through the approval process, it is automatically distributed to members of ORSP and CFR, who will begin searching for funding opportunities. You should be contacted within two weeks of the approval by ORSP or CFR staff. Suggestions for potential funders are always welcome as are any questions concerning the process or the form.
