Using KatieClick to hire Student Research Assistants

KatieClick is the College of St. Catherine's online job and recruitment system. Grant managers should use KatieClick to post open student research assistant and student worker positions. Students interested in applying should login to KatieClick and complete an application. As part of the application, each student is required to upload a resume. Applications are sent directly to the grant manager or designated student supervisor on the grant.

KatieClick allows the College to manage the student employment process and collect important data on the number of positions being offered, the number of applicants for each position, the number of students still searching for employment, etc. Because student employment is a key component of student retention, this data is critically important. You are welcome to recruit students to work as student research assistants, but these students should apply formally through KatieClick. Students who complete the application process build important skills in resume-building and job application.

STEPS FOR USING KATIECLICK:

Step # 1 Request Access to KatieClick
If you are new to KatieClick, you must first request access and set up your account. Go to "create an account" and follow the instructions. You will be instructed to send your name, department and email address to KatieClick@stkate.edu to request access to KatieClick. Once you have requested access, you will be sent two emails, the first confirming receipt of your request and the second confirming your access. These should arrive within one business day. The email will contain a link that will direct you to the site to set up your account. Your username will be your CSC email address and you will be asked to designate a password.

Step # 2 Set up your KatieClick account
Once you have been granted access, you will receive an email with a link that directs you to the site to set up your account.

    • You are required to fill in only those fields indicated with an asterisk
    • Use "CSC Work Study" as the Company Name
    • Choose “Academic” in the Industry Field
    • You must click the box to agree to the Terms of Service
    • In the Salutation Field please indicate Mr., Ms., Dr. or other appropriate honorific

Step #3 Create a New Job Posting
Once you have set up an account, you can post a position via KatieClick. Login to KatieClick. Make sure the College of St. Catherine Logo appears on your homepage (If you DO NOT see the CSC logo, hover your mouse pointer over "Schools" in the gray menu bar and select "College of St. Catherine" by clicking on it). Click on the "Jobs" link then select "Create a New Job" on the right side of page, inside the box labeled "Your Job Folders."

Step #4 Construct a Job Announcement
Before posting the position, consider the qualities and skills you need in a student research assistant or student worker (i.e. office assistant, event assistant). You might use the Student Position Description Form below as a template as you write up an announcement for the position, then cut and paste the relevant information into KatieClick.

Step #5 Post the Position

Enter the appropriate information into the required fields (those with asterisks are required) including
  • The job title. For most jobs use "Student Research Assistant"
  • The job description. Cut and paste the four fields from the Student Position Description, including a brief job description, an explanation of major job duties and minimum and preferred qualifications. Also designate how many students you wish to hire for this position (for example you may be looking for only one student or you may be hiring two or more).
  • Job Locations. Indicate St. Paul or Minneapolis. Do not check the box that indicates "located in all 50 states." Also fill in the state/country fields.
  • Indicate that this is a "paid" position.
  • Note the compensation. Student Research Assistants are usually paid at a rate of $10/hour. If the student is to be paid a stipend instead of an hourly rate, indicate "stipend."
  • Choose the job function from the drop-down list (as close as possible).
  • Indicate whether or not you will require applicants to submit a cover letter.
  • Under "CSC student employment/on-campus/work study" indicate "yes" (even if the work will be off-campus).
  • Indicate an application deadline by which you would like to receive applications (allow several weeks to ensure a good candidate base)
  • Under "Application Method" click "change this setting" to indicate the email address of the individual who will be receiving and processing the applications. Also indicate whether you would like to receive applications as they are submitted or in a batch.
  • Under "Application Method" there is a field titled "Will you be interviewing for this job on campus?" This is an advanced function of KatieClick used with off-campus employers, and you should choose NO.
  • If there are additional required qualifications, indicate them under "Application Qualifications." If you have very specific requirements you can indicate them here to narrow your pool. If you only want to receive applications from students with specific qualifications, contact Theresa Comer in Career Development at x6985 or email tmcomer@stkate.edu. Theresa can enable the system to block applications from students whose profiles indicate they do not meet the necessary requirements.
  • Click “Save” to save your job. When you save your job, you will be taken to a confirmation page – if you do not see the confirmation, check for required fields that are missing information and save again. You may see an option to post your job to the Experience Network. DO NOT post to the Experience Network. (If you choose to post to the network, students at other schools will see your listing, and you will be charged a posting fee.)

Step #5 Receive and Sort Applications

Each student at St. Kate’s has her own KatieClick account. She has 24-7 access to the KatieClick database, and applies for positions online by uploading the information that you have requested. In order to apply for a position, a student must submit at minimum a resume. Depending on your choice under "Application Method," you or the designated student supervisor will receive applications from students via email either as they apply or in one batch at the end of the application period.

Step #6 Contact Strong Candidates to Arrange Interviews. You are under no obligation to interview a particular number of candidates, but please be respectful of the applicants. Individual rather than group interviews are requested to preserve student privacy. You might also consider phone screenings of potential candidates.

Step #7 Hire a Student Research Assistant and Inform KatieClick

Once you have made a decision to hire a student, send an email to KatieClick indicating the name of the student hired. The job will no longer be posted and all other applicants will receive notice that the position has been filled. Note that if you must fill a similar position in the future, you will be able to access previous postings and revise them!

Step #8 Complete the Student Certification Process with HR

You should then submit a Student Certification Form to ORSP for approval and the student should fill out tax paperwork in HR if she has never before worked at St. Kate's.
