Using a Student Stipend Form

The Student Stipend Form should be used to pay students who are taking part in a one-time event or who are being paid to perform a particular task. It should not be used to pay students who are engaged in hourly work. Students who are performing hourly work must be hired via the Student Certification Form and record their hours on a timecard to be paid on a biweekly basis.

Please note that Student Stipend checks should be picked up at either the Information Desk in Couer de Catherine or the Student Accounts Window on the second floor of Derham (depending on time of day). Checks are cut in accordance with the student payroll schedule. Students should be prepared to show an ID.

Example of work that requires a Student Stipend Form*
A student is hired to construct a website to highlight the grant program.
A student is hired to create a scholarship application.
A student is hired via a 3M Small grant to complete a research project resulting in a poster presentation.

*Note that in these cases, the student is assigned to complete a particular project, irrespective of how many hours it takes to finish the project.

Example of work that requires a Student Certification Form*
A student is hired to work ten hours a week to help administer the grant.
A student is hired as a Teaching Assistant for a class and is responsible for attending the class on a weekly basis and helping to develop the curriculum.
A student is hired as a Research Assistant to help the Principal Investigator to collect and analyze focus group data over the course of the year.

*Note that in these cases, the student is expected to work a certain number of hours each week or semester and record those hours on a timecard.

How to fill out a Student Stipend Form

  • Indicate the name, address, ID#, and Social Security Number of the student
  • Describe the work that has been performed. Reminder - a Stipend Form cannot be used to pay students for hourly work! Please do not indicate hours worked on the stipend form.
  • Indicate the date(s) of the work, the total payment, and the grant Banner number.
  • The student and the student supervisor must sign and date the form then submit the Student Stipend Form to ORSP for final approval.
